Histotrack User Agreement
1. Purpose and Scope
Histotrack is a laboratory inventory, material tracking, lot tracking, validation, barcode scanning, activity logging, reporting, and traceability platform. It is intended to support authorized operational workflows involving supplies, reagents, materials, inventory, lots, expiration information, validation records, and related operational information.
Histotrack is not an electronic medical record (EMR), laboratory information system (LIS), patient medical record, diagnostic system, or clinical decision-making system unless expressly designated otherwise in a future written agreement. Users remain responsible for following applicable organizational policies, laboratory procedures, regulatory requirements, and approved systems of record.
2. Patient Information and PHI
Protected Health Information ("PHI") and patient-identifiable information must not be entered, uploaded, stored, scanned, transmitted, attached, or otherwise placed into Histotrack. This includes patient names, medical record numbers, dates of birth, Social Security numbers, contact information, insurance identifiers, patient-identifying accession or case information, diagnoses, treatment information, test results, clinical histories, medical records, and images, labels, barcodes, specimen information, documents, or attachments containing patient-identifiable information.
Users and participating organizations are responsible for ensuring information entered into Histotrack is appropriate for the Service. Unless expressly established through appropriate written agreements and applicable security, privacy, and compliance review, Histotrack should not be considered a system authorized to receive PHI, and no Business Associate Agreement ("BAA") should be assumed to exist.
3. Accounts, Access and Responsibilities
Access is limited to authorized users and the permissions assigned to their account, organization, department, or workspace. Users must protect their credentials, must not share or transfer account access without authorization, and must promptly report suspected unauthorized access. Administrative permissions allow management of authorized areas of the Service but do not create rights outside those permissions.
4. Customer and Organization Data
The applicable customer or organization retains its rights to legitimate operational data it enters into Histotrack, including inventory records, product information, lot information, quantities, locations, validation information, and other organization-specific operational records ("Customer Data"). The Customer permits Histotrack to host, process, display, secure, back up, transmit, and otherwise handle Customer Data as reasonably necessary to provide and maintain the Service.
5. Permitted Use and Service Rights
Users receive a limited, non-transferable right to access and use Histotrack according to their assigned permissions and this Agreement. Users may not copy, resell, redistribute, commercially exploit, interfere with, circumvent security controls for, or attempt unauthorized access to the Service. Users may not introduce malicious code, use another person's credentials, remove proprietary notices, or extract information they are not authorized to access.
All rights, title, and interest in and to the Histotrack platform, including its software, interface, workflows, design, documentation, branding, functionality, database structures, application logic, improvements, enhancements, future versions, and related intellectual property, remain with its creator and owner, Jones Jose, except for Customer Data and third-party materials that are separately owned or licensed. Access to or use of Histotrack does not transfer ownership or intellectual-property rights. Suggestions, requests, recommendations, testing, or feedback concerning the Service do not by themselves create ownership rights in Histotrack.
6. Trial Period and Future Service Terms
Histotrack is currently operating under a trial/evaluation period. Participating users and organizations are not currently being charged for access to or use of Histotrack unless a separate written agreement expressly states otherwise. There is no predetermined expiration date for the Trial Period, and it may continue for weeks, months, years, or another period based on development, evaluation, testing, operational requirements, and future plans for the Service.
Continuation of free access does not create a permanent entitlement to free use. A future subscription, licensing, service-fee, enterprise, or other pricing model may be introduced. Existing participating organizations will not be automatically charged merely because the Trial Period ends. Advance notice of proposed pricing and applicable terms will be provided before paid access is implemented for an existing participating organization, allowing the organization to decide whether to continue.
7. Laboratory and Operational Responsibility
Histotrack assists with operational organization and traceability. Users remain responsible for verifying inventory quantities, lot numbers, expiration dates, validation status, product information, reports, barcode information, and other records before relying on them. Histotrack does not replace professional judgment, laboratory procedures, manufacturer instructions, regulatory requirements, quality-control processes, or an organization's designated system of record.
8. Security, Availability and Changes
Histotrack may use authentication, authorization, access controls, audit logging, encrypted network communications, database security rules, application security mechanisms, and other safeguards. No internet-connected information system can guarantee absolute security. Users and organizations remain responsible for endpoint security, credential protection, appropriate access control, and reporting suspected security incidents.
Histotrack is under active development. Features may be added, modified, replaced, temporarily unavailable, or removed. Users may encounter maintenance periods, compatibility issues, software defects, incomplete functionality, or workflow changes. Uninterrupted or error-free operation is not guaranteed.
9. Suspension, Third-Party Services and Compliance
Access may be suspended or terminated when reasonably necessary because of security concerns, unauthorized access, misuse, violation of this Agreement, suspected account compromise, legal or regulatory requirements, maintenance, risk to the Service or other users, or discontinuation of a trial or service arrangement. Histotrack may rely on third-party infrastructure, hosting, authentication, database, domain, networking, security, or other technology services.
Use within a hospital, laboratory, healthcare system, company, government entity, or other organization remains subject to that organization's applicable security, privacy, compliance, information-technology, procurement, and operational requirements. Access to Histotrack does not itself constitute approval, certification, endorsement, or authorization by a user's employer or organization.
10. Disclaimer and Limitation
To the maximum extent permitted by applicable law, particularly during the Trial Period, Histotrack is provided "AS IS" and "AS AVAILABLE." No guarantee is made that the Service will always be uninterrupted, error-free, completely secure, or suitable for every laboratory, regulatory, technical, or business requirement. Users and organizations are responsible for determining whether Histotrack is appropriate for their intended use.
To the maximum extent permitted by applicable law, the owner of Histotrack will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from use of or inability to use Histotrack, including loss of data, business interruption, lost profits, or reliance on inaccurate information. Nothing in this Agreement excludes liability that cannot legally be excluded or limited.
11. Updates to Terms
These Terms may be updated as Histotrack develops, including for new functionality, security requirements, legal requirements, privacy practices, licensing arrangements, or future paid services. Users may be required to accept a materially updated agreement before continuing to use Histotrack. Separate written agreements may supplement or supersede these general terms where applicable.
12. Acceptance
By selecting "I Agree & Continue," the authenticated user acknowledges that the user has read, understood, and agrees to comply with this Agreement.

How to Use Histotrack
Guide for all staff — works online and offline.
Sign in
Use your username and password. Every action is recorded under your name. The app works with or without internet.
Hospital, Department & Role Access
After opening a hospital, choose a department workspace. Platform Admins manage Histotrack across organizations. Organization Admins manage every department in their assigned hospital. Staff can enter only the departments assigned to their account.
Standard Scanning
Go to Scan In / Out. Use your PDA or tap 📷 for camera. A prompt asks Add or Remove and the quantity.
Batch Scanning
Toggle Batch Mode. Choose Add or Remove once, set a default quantity, then scan multiple items — each processes instantly.
Temperature-Monitored Products
When adding or editing a product, turn on Temperature monitoring required only when the item needs monitored storage. You may record an acceptable temperature range in °C or °F. The requirement appears in Inventory and on the Scan In/Out product screen.
Manual Search
Use the search box on the Scan page to find any product by name or SKU if a label is damaged.
Lot & Validation Popup
For tracked reagents and solutions, Scan In requires lot number, received date, expiry date, and validation status. Scan Out requires the exact lot and blocks expired, pending, rejected, or quarantined material.
Inspection / Lot History
Open Lot / Validation History to retrieve complete Firebase transaction and validation history. Filter by product, SKU, lot, event, validation status, or date range, then print, export CSV, or open a pre-filled email report.
Sync Status
The badge in the top bar shows 🟢 Live means Firebase read/write is confirmed and the app is listening for changes. A 15-second refresh runs as backup. 🟡 Connected means Firebase can be read but writing has not yet been verified. 🔵 Local means shared inventory changes are unavailable.
